Overview of Custom Data Fields Manage Menus Screen

CAA Product Help

(HELP ?) Circles provide narratives on Training, Explanations, and Hints. These can be related to the overall screen, or to specific items on the screen.

The Custom Data Tab (or Menu Tab) function within MemberLink® enables you to create Tabs that display on the Profile screen. These Tabs help you to organize the Custom Data Fields into logical groupings of data.

You can access this Manage Menus screen by clicking the [Manage Menus] icon on the Custom Data Fields screen.

Any number of Data Tabs (sometimes called Menu Tabs) may be defined. Each may be named any way you desire.

** Note: A Tab name can be longer than 40 characters, but only the first 40 characters are considered the actual name. Therefore, names must be unique within the first 40 characters.

Keep in mind that these Tabs also have a "Title" (or button title) that appears on the Profile screen. Try to keep the button title short -- one word or maybe 2-3 words maximum -- so that it looks like a Tab or Menu Button on the Profile screen.

The remainder of this "Help Text" narrative provides an overview of this Manage Menus screen where you can create and maintain Menu Tabs.

"Manage Menus" icon Area:

In the color-shaded icon area, you can click on the icons for the following access:

"Create New Menu and Tab" icon
Click this icon to go to the screen where you may create a new Menu Tab to use with your Custom Data Fields.

"Back" Icon
Click this icon to return to the Custom Data Fields screen.

Always use the [Back] icon to go back to a previous screen; do not use your Browser's "Back Arrow" to go back.

"Manage Menus" Control Panel:

Here is an overview of each column on the CONTROL PANEL of the Manage Menus screen:

Column 1 -- Sort:
This column is used to arrange the presentation order of the Menu Tabs. Under a Menu Tab, the database's "Custom Data Fields" that you logically associate with that Tab are displayed on the Profile screen. However, you may want to specify in what sequence you want to display the Menu Tabs if you have more than one.

For example, you may have a Tab that says "Personal Info" and another that says "Church Info" and so forth. You can use this column to tell the system which Tab to start on the left side of the screen; which Tab to follow that; and so forth as the Menu Tabs are displayed left to right on the Profile screen in the custom data section (at the bottom of the screen under the standard data section).

Using the "sort values" in this column, you can control in what order these Menu Tabs are displayed on the Profile screen. After you enter the sequencing values in the Sort column, go to the bottom of the column and apply the change. You must click on the [Apply Sort] button to actually make the sequence changes.

For your convenience, you can click this column title (notice it is underlined) to sort these Menu Tabs into the default ascending sort sequence. The sequence could have changed if they were sorted into a different display sequence by one of the other columns on this CONTROL PANEL.

Column 2 -- Menu Tab Title:
This column shows the Menu Tab Title or "button title" that has been created. For your convenience, you can click the column title (notice it is underlined) to sort these button titles into ascending alphabetical sequence. The default sequence for this column is controlled by the values in the Sort column.

Column 3 -- Menu:
This column shows you the Menu Name for this Menu Tab. For your convenience, you can click the column title (notice it is underlined) to sort these Menu Names into ascending alphabetical sequence. The default sequence for this column is controlled by the values in the Sort column.

Column 4 -- Description:
This column shows you the Description that applies to this Menu Tab.

Column 5 -- View:
This column features a View hyperlink associated with each Menu Tab. If you click it, you will see a list of all the Custom Data Fields currently assigned to this Menu Tab.

Column 6 -- Modify:
This column features a Modify hyperlink associated with each Menu Tab. If you want to view the Menu Tab parameters in detail, or make changes to its parameters, click the Modify hyperlink to go to the maintenance screen. This is how you add newly created Custom Data Fields to an existing Menu Tab, or drop Custom Data Fields from this Menu Tab so that you can move them to a different Menu Tab.

Column 7 -- Remove?:
This column allows you to delete existing Menu Tabs. Use the Checkboxes to identify those data Menu Tabs you want to remove, to delete completely from the system. Then scroll to the bottom of the screen and click the [Delete Checked Menu(s)] button.

** Warning:
Deleted menus disappear from the system and cannot be recovered. They are gone!

However, deleting a Menu Tab does not delete the actual Custom Data Fields that were assigned to it, or any of the values that have been entered into the contact records for these Custom Data Fields. Later, you could create the same Menu Tab again and assign the same Custom Data Fields to it again, so although the Menu Tab has been deleted and can't be recovered or restored, you could recreate it.
