Email - Using the Who Gets This Email? Window with Reset

(HELP ?) Circles provide narratives on Training, Explanations, and Hints. These can be related to the overall screen, or to specific items on the screen.

You found the (HELP ?) Circle narrative for"Using the Who Gets This Email window and the Reset All button" by clicking the (COMPREHENSIVE HELP ?) Circle on the "EMAIL & TEXTING" Screen or any of the other screens related to "Email & Texting" that have this (COMPREHENSIVE HELP ?) Circle.

Before proceeding, please be sure you have previously clicked the (HELP ?) Circle that leads to the narrative on "Overview and Basics: Using the Email & Texting Function". Being familiar with the general information about the "EMAIL & TEXTING" Screen may be helpful to you.

The following information relates specifically to the workings of the "WHO GETS THIS EMAIL?" Window and how to "Reset the Active Records" shown in the window.

** Note: The following pertains primarily to the Administrators who are using the Email function from the Administrator module. People logged in via the Member Portal module can only send email messages to Groups for which they have been authorized. For them, the "WHO GETS THIS EMAIL?" Window will be empty when they come to this screen, and it can only be populated by selecting a Group.

Using the "Who Gets This Email?" Window with "Reset":

The "WHO GETS THIS EMAIL?" Window will already have a list of people in it. The default is to list all "active" records of people that have email addresses.

That could be all people in your database of contact records. However, on the "CONTACTS" Screen before you come here, you can narrow down the number of active records to focus on certain people or Groups. Whichever records are active when you come to this screen will be the people listed in this window. You can check or uncheck them, and you can choose to ignore these people and select a Group or use the "Search & Select" Hyperlink to find and select certain people for the window.

The Purpose of the "Reset" Option:

At the top of the Navigation Panel on the left side of the screen, you will see a "RESET" Hyperlink. Clicking it makes all database records "active".

If you came to this screen with a subset of contact records active, clicking the "RESET" Hyperlink will override what was active on the "CONTACTS" Screen and will activate all contact records and place them into the "WHO GETS THIS EMAIL?" Window.
